Using AI also means training employees - what the EU AI Act requires

Article 4: Ensuring AI Competence

Article 4 of the EU AI Act requires organizations to implement “appropriate training and continuing education measures” to ensure that employees who work with AI systems or interpret their outcomes possess the necessary knowledge and skills.

 

In concrete terms, this means:

 

  • Companies must establish internal processes to provide training on the use of AI.

  • Employees should be empowered to critically assess AI outputs and identify potential risks.

  • Training must be tailored to specific roles and responsibilities – for example, for developers, users, or decision-makers.

  • This obligation primarily concerns the use of high-risk AI systems (as defined in Annex III of the regulation), but can also apply to general AI applications, such as in HR, CRM, or marketing.

 

Why This Matters

 

The aim of the regulation is to prevent uncritical or inappropriate use of AI systems – especially when their outcomes influence automated decision-making. Faulty or biased AI outputs could otherwise lead to legal and ethical consequences.

At the same time, the regulation enhances the digital resilience and future-readiness of businesses. Only teams that are trained in working with AI can fully and safely leverage its potential. Moreover, having competent employees significantly reduces the risk of poor decisions or unintended harm – a clear benefit for both innovation and compliance.

 

Recommendations for Companies

 

Now is the right time to take action. Companies should start by assessing which teams and departments already work with AI systems – or plan to in the near future. The next step is a thorough risk assessment: Which systems fall into the “high-risk” category under the EU AI Regulation? Based on this, a targeted training strategy should be developed. This involves identifying which competencies are needed for which roles, and determining suitable formats – such as e-learning modules, in-person workshops, or certified programs.

 

From Training to Embedded AI Competence

 

Training alone is not enough – true AI competence must be embedded in the everyday work environment. Organizations should integrate learning content into real work scenarios, such as through hands-on exercises or guided coaching. Leadership plays a crucial role here: as role models, they can foster an open learning culture and encourage the confident use of new technologies. This transforms mandatory training into genuine added value – for employees, for business processes, and for the company’s overall capacity to innovate.
